[OCRcommunications] How to Link Orders with Research Studies in Epic

Good evening Research Community,



We are reaching out with an update on How to Link Orders with Research Studies in Epic.



Researchers used two methods to link ‘orders’ to a study.



·       “Bill to research” question on the order form

·       “Research Association” method from the options section of the order



The first option, the “Bill to Research” choice will no longer be available in Epic while placing research orders.



Why was it removed?



This option allowed users to link orders to any study at UTSW Medical Center, even when a patient was not associated with the study. This is a billing compliance risk.



·       With the removal of the “Bill to Research” choice, continue to use the “research association” option to link orders to the study.



For RBR (Research Billing Review) studies it is always recommended to link encounters to the calendar, even if an order is linked to the study.  If your study is exempt from RBR process and research calendar, you MUST link research billable orders to the study to ensure appropriate billing.
